Dear Parents/Guardians, 

We would like to extend a warm welcome to all our families and trust that everyone is settling into the routines of the Ottawa Carleton District School Board’s Virtual School (OCV). The purpose of this letter is to outline the process and timing for the election of our School Council members for this school year.

Although this school year looks and feels very different, School Councils will continue to play an important role in enhancing the communication between the OCV and our parent community.  This will be accomplished by providing feedback and advice to the school principals, and the school district on significant education issues, and by planning activities that support the active participation of parents/guardians and our school community. We encourage everyone to participate in the sharing of their ideas, time, expertise, and to offer any other contributions that might benefit our school community. 

When and how are School Council meetings held?

School Council meetings will be held virtually every month using Google Meets. Meeting dates will be established once the School Council is formed. All parents are welcome to attend meetings. A link to Google Meets will be sent out each month.  Whether you can make one meeting or many, any involvement is appreciated. 

What is the process for School Council nominations and elections?

The first step for each Campus is to form a School Council through elections. In order to ensure fairness, transparency, and the opportunity for new parents/guardians to participate and become part of a school council for the upcoming school year, the regulations are very specific on the timing and process to be followed for school council elections. OCV School Council elections will take place on Wednesday, October 28th  through an electronic ballot. Any parent/guardian of a student enrolled in our school can be elected as a parent member of the school council. Parents can nominate themselves or another parent using the nomination forms sent by each campus. 

Each candidate profile will be posted on the appropriate Campus website. 

The deadline to submit nominations is Friday,  October 23rd, 2020. An important reminder - members are elected to the school council by the parent community. Once elected, the members elect from amongst themselves the officers of council chair (or co-chairs), vice-chair, treasurer, and secretary. This will happen at the first meeting scheduled for the first week of November.

Once nominations are closed, Principals will prepare the ballots and send them out to every parent. Parents should receive a ballot by 9:00 am October 28th. Voting will close at 5:00 pm Wednesday, October 28th.

What are the specific responsibilities of a parent member of the School Council?

The main responsibilities of a parent member include the following:

• contribute to school and school council discussions 

• solicit views of other parents/guardians and community members to share with the council 

• participate on council committees 

• observe the council’s code of ethics and constitution 

• encourage parents/guardians and community members to participate in events and programs

How will the results of the election be communicated?

Once the results have been tabulated, they will be communicated to all parents and guardians along with the time and date of our first meetings.
